Dean's Provision No. 7/2017

Lays down the rules which applicants are required to observe during the admission procedure and the right of the applicants to inspect all materials that are relevant to their admission to the study program.

Rules of the Admission Procedure

In accordance with Article 11 of the Statute of Charles University (hereinafter referred to as the Admission Procedure Code) I lay down the rules for applicants for study at the Second Faculty of Medicine of Charles University:

1. The applicant will receive by mail, into their own hands, two parts of an invitation to the entrance examination. The first part will be used for the first written test, and the second part for the second written test. An applicant to the English parallel receives an invitation before the written entrance examination which has only one part, because they will complete only one written test.
    
2. The applicant is required to check that his/her personal details agree with the details on the invitation to the admission procedure for the academic year 2017/18.
    
3. At the request of the lecturer, the applicant shall sign the relevant part of the invitation for each test, confirming that he/she is not physically disabled and that their health condition allows him/her to take the appropriate test.
    
4. After receiving the appropriate test, the applicant is required to check whether the test, the result form and the label have the same identification number. Any inconsistencies are to be immediately reported by the applicant to the supervisor of the lecture hall, where he/she is writing the test.
    
5. The applicant will paste the label he/she receives with each test on the relevant part of the invitation.
    
6. The applicant fills in the result form only with a black ball pen received from a faculty member before the admission procedure starts and indicates the correct answers in accordance with the test guidelines.
    
7. The applicant is obliged to stop writing at the request of the lecturer and to hand over the relevant part of the invitation with the label, the result form, and the test itself to the supervisor in the lecture hall and then leave the lecture hall.
    
8. The applicant is not allowed during the course of the admission process to use these unauthorized means:
   • A calculator, spreadsheets, or other similar tools,
   • Mobile telephones, tablets, smart watches with an operating system, or other similar tools,
   and it is sufficient for them to be found with the candidate in order to constitute a violation.
    
9. During the written tests, the applicants are strictly forbidden to copy others' tests, nor allow their own tests to be copied from, and must not contact any other applicant or be contacted by any other applicant.
    
10. During a written test, the applicant may not leave the test site without supervision, nor shall he/she make any marks on the test after the set testing time has elapsed.
     
11. The consequence for such behaviour of applicants which may undermine the equal chances of the applicants, as described in points 8–10 above, is the removal of the test and the non-evaluation of the results. In this case, applicants are not eligible for a substitute date. In case of termination of the entrance examination or its part, a written protocol of such termination stating the relevant reasons shall be drawn up and will be included in the applicant's file.
     
12. An applicant may request the interruption and cancelation of the admission test due to sudden grave medical ailment, if it is obvious that he/she cannot continue the test. The urgency of the ailment is decided by the Vice-Dean for study or by an authorized member of the faculty. A protocol of the incident will be immediately drawn up, signed by the applicant and the responsible staff of the faculty. The results of the interrupted examination shall not be evaluated and the Vice-Dean for study, in cases of special consideration, may allow the Examination to be held on an alternative date if the applicant so requests, giving due reasons, within five days of the day of the interrupted examination. The objection of medical ailment at the time of the examination cannot be applied retrospectively.
     
13. The applicant has the possibility to request access to his/her relevant materials in accordance with the provisions of Section 50 (5) of Act No. 137/2016 Coll., On Higher Education Institutions and Article 11 (4) of the Admission Procedure Rules:
    • Solely the applicant who proves his/her identity with a citizen's identity card, passport or an equivalent EU ID card has the right to inspect the relevant materials of the applicant for study at the Second Faculty of Medicine, decisive for his/her admission to study. Other people are excluded from viewing the materials and proof of identity of the applicant other than an official ID card, passport or an equivalent EU ID card (with photographs) is not allowed.
    • Examination of the materials according to deadlines laid down in the Rules of Admission Procedure for applicants of Charles University will be allowed to applicants who ask the faculty in writing within the time limit for inspection. The date and time of examination of the material will be published on the faculty web site.
    • The candidate may view the test materials only in the presence of authorized staff of the Study Department on the day and the hour of a specified date in the meeting room of the faculty (or alternatively in the office of the Head of the Study Department in case of small number of applicants examining their relevant materials).
       

This measure becomes valid and effective on 5 June 2017.

The following are hereby repealed: Dean's Provision No. 5/2016 of 21 April 2016 and Dean's Provision No. 8/2016 of 6 June 2016.
